A role
Tell the AI who it should be.
Artificial intelligence · 2026 edition
A prompt is the request you write to an artificial intelligence. A vague request gets a vague answer. With a simple method, the answers become far more useful. Here is the method, with examples ready to copy.

In short
A good prompt gives the AI a role, some context, a precise task, an answer format and constraints. For example: “You are a sales assistant. I am a plumber in Manchester. Write a short, polite follow-up for a quote sent 10 days ago, in 5 lines maximum.” Always reread the answer, and never paste your customers' sensitive data.
Tell the AI who it should be.
Your trade, your customer, your goal.
One clear request at a time.
Length, tone, list or table.
You do not need magic formulas. These five parts are enough in most cases.
Replace the items in square brackets with your own situation. Reread and adapt each answer before using it.

AI can be confidently wrong. Check figures, dates and legal rules against official sources.
At work, AI is a powerful tool, as long as you stay in control and protect data.
Do not paste customers' personal data, passwords or confidential information. The GDPR applies.
You remain responsible for what you publish or send, even if the AI wrote it.
Since 2 August 2026, the EU AI Act requires people interacting with an AI system to be informed.
If the answer is not right, be more specific: shorter, simpler, a different tone. The back-and-forth improves the result.
Your requests that work become automations: the AI prepares the replies, you approve them in one click.
Every customer message gets a suggested reply.
Your long documents summarised as soon as they arrive.
Your templates stored and shared with the team.
Nothing goes out without your approval.
It is the written request you give to an artificial intelligence. Its quality directly affects the quality of the answer.
Give a role, some context, a precise task, an answer format and limits. Then improve the answer by explaining what is not right.
Following up a quote, replying to a review, writing a product description, summarising a document, preparing for a meeting or finding content ideas.
No. Today's AI tools understand many languages well. Write in the language you want the answer in.
It is not recommended. Personal data is protected by the GDPR. Anonymise the information or use a tool approved by your business.
